Vehicle Parking

For a paid car park or two-wheeler stand. A vehicle is let in at the booth, a ticket is raised, and on the way out the fee is worked from the duration slab for its vehicle class. Regular customers hold season passes; larger lots track bays. Another kind of business can also switch parking on under Settings > Parking and gets a Parking menu on its POS page.

Set up before the first vehicle

The owner or a manager does these, in this order.

  1. Pick what you run Settings > Parking. On the Features card switch on Season Passes, Vehicle Registry or Bays only if you use them. On the Billing card keep Timing Fare on to charge by time (off means every vehicle must hold a pass), and set Exit Grace After Paying.
  2. Fill the rate card Setup > Rates: for each vehicle class, free minutes, first and additional blocks, daily cap, night flat rate, lost-ticket amount and the pass prices. Surge and tiered pricing go under Pricing Policy in the same menu.
  3. List your gates and validations Setup > Parking Gates and Validations / Discount Reasons (the merchants or promos a ticket can be validated by). With Bays on, add Parking Zones and Maintenance Reasons, then lay out the bays under At the Barrier > Bays.
  4. Tell each booth which lane it is with This Booth's Gate (in the Setup menu), on every booth device.
  5. Enter your regulars (with passes or the registry on): Issue Pass and Regulars > Register Vehicle.
  6. Create a login for each person and tick their switches (see Who signs in).
  7. Run one test vehicle: open a shift, check a plate in, print the ticket, check it out and print the receipt, then close the shift.

How the work flows

Each step says who usually does it and what prints.

Open the shift

At the Barrier > Shift / Float: open the till with the float in the drawer. The booth has the same screen on a button in its own top bar.

On the Booth, type the plate. A registered vehicle fills its class and shows its pass; otherwise tap the vehicle class. The ticket prints with its ticket number, and with Bays on the vehicle is parked into a bay.

Type the plate or ticket number. The exit sheet shows the minutes, the slab and the fee. A valid pass lets it out at zero; otherwise take cash or UPI. The fee posts as an ordinary counter sale, so the day book and the shift see it. A lost ticket charges the rate card's lost-ticket amount.

Discounts and free exits

A mall validation or promo coupon takes money off the fee (Apply Discount). Letting a vehicle out without charging, or charging a lost ticket, needs Waive Fees, which is refused for anyone who does not hold it.

Sell or renew a pass

Issue Pass for a monthly or yearly pass, or from inside the exit sheet when a regular wants one on the spot (the fee is then re-quoted). Passes are billed as a sale.

Count the drawer on Shift / Float. The variance against expected cash (float plus takings) is kept with a note. The Sessions screen prints the day sheet for any date range.

The booth is two columns: in on the left, out on the right. An exit that charges money posts an ordinary counter sale behind the scenes, so the day book and shift reconcile see it.

Who signs in

Give every person their own login. Parking has no seat picker: you add a user, then tick the switches on the Parking group of their permissions. The owner or an admin opens on the Dashboard; everyone else opens straight on the Booth.

  1. Open the user form Settings > Users > Add User.
  2. Set the login: email or user name, password, and Role Type. A login that changes rates needs the Manager role: Manage Rates is offered only to a manager.
  3. Tick the switches on the Parking group for the job, as in the cards below, and save.

These are typical shapes, not built-in seats: what a person may do is exactly the switches you tick. A login without Booth opens on the Dashboard instead. Issue Passes and Register Vehicles appear only with Season Passes and the Vehicle Registry on.

Waive Fees is enforced, not just hidden. Without it the “let out without charging” button is gone, and a release that skips the fee is refused even if it is requested some other way — so a vehicle cannot leave unbilled by working around the screen.

Where it is in the app

The owner or an admin opens on the Dashboard; a booth operator opens straight on the Booth. Each menu shows only what this login is granted and this lot has switched on; a menu left empty does not appear.

On a computer: the menu bar

Across the top: the seat’s own screen and the Dashboard, then these menus, and Tools (Settings, utilities, Help, Logout) last. Issue Pass sits in a New submenu at the top of the first menu.

On a phone or tablet: the side menu and the bottom bar

The side menu starts with My Work — the seat’s own screen, then the Dashboard — followed by At the Barrier, Regulars, Office (Reports, Directory, Accounting, Purchase & Sales) and Setup. A screen on the bottom bar is not repeated in the side menu.

Screens

Booth

Built for a queue: the plate field keeps focus, the vehicle class is one tap, and nothing asks a second question it can answer itself. A plate that matches a registered vehicle fills its class and shows its pass. Casual plates park and pay the ordinary fare.

Sessions

Every ticket: inside now, closed today, or any date range. Shows in/out time, charged minutes, fee, how it was paid and which shift it fell in. Lost-ticket exits charge the rate's lost-ticket amount. Print or share the day sheet for the range shown.

Rates

One rate card per vehicle class: free minutes, first block and its amount, additional block and amount, daily cap, night flat amount and hours, lost-ticket amount, monthly and yearly pass prices, with an effective-from date so a revision can be scheduled. Pricing Policy and Settings > Parking add peak-hour multipliers or surcharges, and tiered pricing after N minutes.

Shift / Float

The booth operator opens a shift with a float, and closes it by counting the drawer; the variance against expected cash is kept. See Shifts.

Directory and counter

Pass holders are customers; the kiosk (snacks, car care) sells through Purchase & Sales with Items as its product master and Material Purchase to stock it.

A booth is a cash business run by staff, so the shift — not the day — is the unit the money is answered for.

Settings & permissions

Timing FareCharge by how long a vehicle stayed. Off, every vehicle must hold a season pass: a plate with no active pass can still check in, but exit will not release it until one is issued.
Exit Grace After PayingHow many minutes a driver who paid at a kiosk has to reach the barrier. Past it, the stay re-meters from the payment, never from entry.
Peak-Hour SurgeLift the fee inside a chosen window, by a multiplier or a flat surcharge. Read in the site’s own local time.
Tiered Duration PricingPrice later hours at a different block rate, so a long stay is not billed at the first hour’s price all day.

What each login may do

The side menu is built from these, so a login is shown only what it may actually use — a booth-only login has no Setup group and no money on screen at all.

View RevenueRead only. The Collected Today tile, the three charts, and the three money reports. The one switch that survives a view-only login, so a booth operator gets the operational reports without the money ones.

Six of the seven are write switches and are off for a view-only login.

Reports

Each report is its own entry under Reports in the side menu, so you open the one you want rather than landing on an index and picking from a row of chips.

Parking Reports: Daily Collections, Collection Register, Currently Inside, Vehicle Class Mix, Pass Register, Renewals Due, Regular Vehicles, Shift Reconcile.
Business Reports: Day Book, Expenses, Income, Profit & Loss.

The list adapts to the site and the login: Pass Register and Renewals Due appear only with Season Passes on, Regular Vehicles only with the Vehicle Registry, Shift Reconcile only where shifts are in use — and Daily Collections, Collection Register and Shift Reconcile only for a login holding View Revenue.
